EspoCRM, customised and connected

A fast, tidy open-source CRM, set up around how you sell, joined to your email, phones and other systems, and looked after on a UK server.

Rob Sherwood, co-founder of Dev Partners
Straight answer: EspoCRM is free to self-host under the AGPL-3.0 licence, and a lot of it can be tailored without code. Outlook, Gmail, VoIP and AI connect through paid official extensions; WhatsApp and Nextcloud need a third-party add-on or a custom integration.

Why people pick EspoCRM

EspoCRM handles leads, contacts, accounts, deals, cases, email and calendars, and it is quick. It is written in PHP with a JavaScript front end, licensed under the AGPL-3.0, and actively developed: version 10.0.9 came out on 29 September 2026 (checked on the project's GitHub, 11 October 2026).

Its real strength is how much you can change from the admin area without writing code: custom fields, new record types, layouts, roles and simple automation. That makes it a good choice for teams who want to start simply and change it as they learn what they need.

We are independent, not an EspoCRM partner, and we would rather describe how we would approach your EspoCRM than claim a list of past ones. What we do have is fifteen years of building and running PHP business systems, including the CRM we wrote for our own business.

EspoCRM customisation, without breaking updates

The no-code part first

Fields, record types, layouts and roles set up in the admin area, because that is the cheapest change to maintain.

Proper extensions for the rest

Anything beyond that is built as an EspoCRM extension, the way its developer documentation intends, so updates still apply cleanly.

An EspoCRM developer on call

For the custom record logic, hooks, reports and API work that need an EspoCRM developer rather than an admin.

EspoCRM support

Updates tested against your extensions before they go live, security patches, backups checked, and a person to ring.

EspoCRM integrations: what is official, what is paid, what needs building

EspoCRM integrations come three ways: official extensions sold by EspoCRM per instance, third-party add-ons, and custom work through its REST API. Here is the honest picture, checked against EspoCRM's extensions store and documentation on 11 October 2026.

EspoCRM Outlook integration

An official paid extension that connects Microsoft 365 and Outlook.com: calendar sync, contacts and secure sign-in for email accounts. We set it up, or build directly on Microsoft's API when you need more.

EspoCRM Gmail integration

The official Google Integration extension (also paid) covers Gmail secure sign-in, Google Calendar sync and contacts. Plain IMAP email works without it.

EspoCRM VoIP integration

The official VoIP extension works with Asterisk, Twilio, Starface, Binotel and iexPBX: click to call, call logging and pop-ups for incoming calls. Other phone systems need a custom connector.

EspoCRM WhatsApp integration

There is no official WhatsApp extension. The options are a third-party extension, a connector service such as Make or Zapier, or a custom integration on the WhatsApp Business API that logs messages against the right contact. Which is right depends on volume and how much of the conversation needs to live in the CRM.

EspoCRM Nextcloud integration

Nothing official exists, and it comes up often on the EspoCRM forum. A custom integration can link files stored in Nextcloud to CRM records and sync contacts or calendars through Nextcloud's standard CardDAV and CalDAV. If you run both, that is a sensible small project. More on Nextcloud.

EspoCRM AI integration

EspoCRM's official Intelligence extension connects to OpenAI, Gemini or Claude for record summaries, email drafting and AI functions in automation. We can set that up, or build AI into your own workflow where the AI suggests and a person or rule decides. See AI-assisted development.

EspoCRM self hosted, and EspoCRM migration

EspoCRM self hosted on your own server costs nothing in licence fees and keeps your customer data under your control. It needs a standard PHP and MySQL or MariaDB server. We host it on UK servers in an account you own, with updates, monitoring and backups that are tested by restoring them. More in Linux server management.

EspoCRM hosting is also available from EspoCRM itself as a cloud service, if you would rather not run a server at all. We will tell you honestly which suits you.

An EspoCRM migration usually means one of three things: moving into EspoCRM from Salesforce, HubSpot, Pipedrive or spreadsheets; moving an existing EspoCRM to a new server; or bringing an old version up to date. All three get a trial run you can check before anything goes live.

What people ask about EspoCRM

The core is free to self-host under the AGPL-3.0 licence. Some features come as official extensions with a per-instance licence fee, such as the Outlook, Google and VoIP integrations. You also pay for hosting and any setup or custom work.

Not officially. You can use a third-party extension, a connector service, or a custom integration on the WhatsApp Business API that logs messages against the right contact.

Yes. Basic email works over IMAP and SMTP. The official Outlook and Google Integration extensions add calendar and contacts sync and secure sign-in. Both are paid extensions.

Not if they are built in the admin area or as proper extensions. We never edit EspoCRM's own code, and we test your extensions against each update before it goes live.

Self-hosting saves the subscription and keeps your data on your own server, but someone has to look after it. If nobody will, EspoCRM's own cloud service is the safer choice.
